ONLYOFFICE releases major update for collaboration platform and document editors

The open-source online office solution ONLYOFFICE has released a major update for its collaboration platform (ONLYOFFICE Workspace 12.0) and its document editors (ONLYOFFICE Docs 7.1). With the update, teams should be able to work together more efficiently on the management of projects and documents in the future.

In addition to improved document management, Workspace 12.0 has revised team management including CardDAV address books, with which teams can be managed more efficiently in the future. The calendar function and project planning have also been improved so that appointments and project reports can be planned and personalized more easily. In addition, users of Google Workspace can now switch to ONLYOFFICE more easily – via the control panel with the update, all data can be migrated to your own server with a click. ONLYOFFICE Docs 7.1 introduces numerous improvements for working with documents, spreadsheets and presentations. ONLYOFFICE Docs is fully ARM compatible with the update, thus benefiting from the ARM architecture that offers high performance, energy efficiency and built-in security. Furthermore, thanks to a new conversion option from PDF to DOCX and the revised viewer for PDF, XPS and DjVu files, users can completely do without third-party applications when working with PDF files. In addition, the update expands the range of functions of the online and desktop editors and adds, for example, the table editor with a print preview or the presentation editor with the option of adding and editing animations.

ONLYOFFICE Workspace 12.0 includes numerous improvements that make document management and sharing easier. For example, the user interface has been made more intuitive when sharing documents and additional options have been added that make it possible to set the editing rights of other users even more granularly or to set standard sharing rights. Users can still set their trash to be automatically emptied at specified intervals.

Team management with CardDAV and support for AppleID / Microsoft account
Team management in ONLYOFFICE Workspace 12.0 has been completely overhauled. The central innovation is the ability to create address books based on the open-source CardDAV protocol, which use the data of portal users. If the user data in the portal changes, the corresponding CardDAV entry is updated automatically. Furthermore, users can now connect their AppleID or Microsoft account to log into the Workspace portal.

New features for Calendar & Projects modules
ONLYOFFICE Workspace version 12.0 brings a number of innovations to the Calendar and Projects modules. When creating calendar entries, users can now format the description text and add lists, hyperlinks and file attachments. Data migration from Google Workspace for easy transition

Google Workspace users who would like to switch to a self-hosted ONLYOFFICE instance will get an easy way to migrate their data with ONLYOFFICE Workspace 12.0. This is now possible with just a few clicks in the control panel by importing a Google backup and also includes user profiles, contacts and files. The migration option is also available for Nextcloud and ownCloud.

IMAP support and other innovations for mail
With the new update, ONLYOFFICE adds IMAP synchronization for mails as well as mail server database backup function. In addition, users can request a read receipt when sending an email and tag other users with a so-called “@ mention”, which is then automatically added to the recipient list.

More security features
In ONLYOFFICE Workspace 12.0 in user profiles it is now possible to check a list of active connections used to access the portal. The connection information includes operating system and browser, time, IP address and location. If users notice unusual activity, they can terminate certain connections and change their password immediately. Administrators can also terminate all active connections of a user.

Full ARM compatibility of the editors
With the updates, all editions of ONLYOFFICE Docs (Community, Enterprise and Developer) as well as ONLYOFFICE Document Builder can be installed on devices with ARM architecture. ONLYOFFICE Docs ARM-compatible version is available as a separate build and offers multiple installation options, such as Docker images, deb and rpm packages.

Improved work with PDF files thanks to a revised viewer and conversion function

PDF files saved in ONLYOFFICE Docs 7.1 can be easily converted to DOCX files or any other available format. In addition, the integrated viewer for PDF, XPS and DjVu files has been completely revised and can now display files on the client side. Furthermore, the viewer gets a number of comfort functions of well-known viewers with a navigation bar, a control panel for the page thumbnails, support for external and internal links and cursor/hand mode.

Various features for table & presentation editors
With version 7.1 of ONLYOFFICE Docs, users get access to a number of new features when editing spreadsheets or presentations. For example, the table editor now has a print preview that users can use to check in advance what the printout of their table will look like. The editor also has tool tips when using formulas, more view options in the “View” tab and the ability to set text qualifiers when importing data from text.

In the presentation editor, users can add and edit animations, duplicate presentation slides or move them using the context menu.

New “View” tab and improved work with shapes in all editors
All editors in ONLYOFFICE 7.1 will be provided with a new “View” tab, through which users can quickly change the view of their documents and presentations. In addition, the menu for adding shapes has been redesigned and now also shows recently used shapes. Furthermore, users can also change new or existing shapes with the mouse and thus create their own shapes. In addition, ONLYOFFICE Docs 7.1 supports new chart types as well as SmartArt.
